Care and Concern Committee

Purpose:

The purpose of the Care and Concern Committee is to assist UUCRV in its ministry to one another.

Responsibilities of Committee:

1. Publish commettee members’ names and phone numbers in the UUCRV newsletter so members will know who to contact about member care and/or concerns areas.
2. Survey UUCRV members to learn who would be willing to help with care activities for members in need so that a list of volunteers is readily available to the committee.
3. Solicit volunteers to provide for each care request if it is something that is possible for UUCRV members to do.
4. Contact minister if need involves pastoral care.
5. Prepare a written report of committee’s activities and submit it for inclusion in annual report to the congregation.
6. Propose a budget to be submitted to the Finance Committee for care and concern expenses and operate within the budget approved for the committee.

Members of the Care and Concern Committee:

Shall be attached to the Membership Committee.
Shall consist of one chairperson, appointed by the president of the congregation and approved by the Board of Trustees and one person selected from the Membership Committee.
Shall find volunteers to carry out the committee’s purpose and responsibilities.
Shall serve one year.

Religious Education Committee

Religious Education Committee

Purpose:

The Religious Education Committee will plan, oversee, and implement a children’s religious education program for the congregation.

Responsibilities of Committee :

To further this purpose, the Task Force shall:
1. Design a children’s religious education program, keeping in mind the congregation’s needs and resources.
2. Oversee the ongoing program. Ongoing tasks include: Recruit, train, and support volunteer teachers. Maintain program supplies. Evaluate program yearly.

Responsibilities of Committee Members:

1. All: Participate in regular meetings.
2. Task Force Chair: notify participants of meeting time, prepare agenda, monitor progress of committee projects/assignments, and lead meeting.

Qualifications for Committee Members:

1. Commitment to children’s religious education and to the mission of the Unitarian Universalist Congregation of Rock Valley (UUCRV).
2. Membership in UUCRV.
3. Ability to work as a team member.
4. Ability and willingness to give support to other committee members and congregants.

Amount of Time Required:

Average 2-4 hours per month (1-2 meetings per month, plus preparation time).

When Ministry Is Performed:

Committee members will set regular meeting times.

Length of Commitment:

3-year terms.

Training Provided:

1. Initial orientation provided by minister.
2. Religious Education planning workshop, sponsored by congregation, with Central Midwest District RE consultant.
3. Ongoing training to be determined.

Responsible To:

Other members of the Committee, collegially.

Support Provided:

1. The support and encouragement of other members of the committee.
2. The personal and professional support of the congregation’s minister.

Finance Committee

Finance Committee

Purpose of Finance Committee:

Finance committee shall support the treasurer of the Unitarian Universalist Congregation of Rock Valley.

Committee Membership:

Treasurer
Finance chair appointed by the President
Additional members as appointed by Finance Chair

Committee Responsibilities:

1. Notify members and nonmembers in early January about tax deduction information for the previous calendar year.
2. Write thank-you notes for substantial monetary gifts given by nonmembers.
3. Make arrangements for the Canvass Drive in the spring.
4. Build the operating budget for the upcoming fiscal year.
5. Present projected operating budget to board for approval and to the congregation for adoption.
6. Arrange for a yearly audit of the financial records

Ministry Committee

Name of Committee:

Committee on Ministry

Purpose:

The Committee on Ministry will support and strengthen the professional ministry of the congregation.

Responsibilities of Committee:

T o further this purpose, the Committee shall:
1. Facilitate communication between the minister and the congregation, bringing any issues to the minister’s attention and encouraging direct communication.
2. Serve as a sounding board for the minister.
3. Evaluate the minister, in the context of the total ministry of the congregation, once a year.

Responsibilities of Committee Members:

1. Participate in monthly meetings.
2. Chair meetings on a rotating basis: notify participants of meeting time, prepare agenda, monitor progress of committee projects/assignments, and lead meeting.

Qualifications for Committee Members:

1. Commitment to the mission of the Unitarian Universalist Congregation of Rock Valley (UUCRV).
2. Membership in UUCRV.
3. Ability to work as a team member.
4. Ability and willingness to give support to other committee members and congregants.

Amount of Time Required:

Average 1 1/2 hours per month (one 1 1/2-hour meeting), plus meeting preparation.

When Ministry Is Performed:

Monthly meeting on third Thursday, 4:30-6 p.m. Preparation at your convenience.

Length of Commitment:

One year. Renewable.

Training Provided:

1. Reading materials provided.

Responsible To:

Other members of the Committee, collegially.

Support Provided:

1. The support and encouragement of other members or the committee.
2. The personal and professional support of the congregation’s minister.

Bldg & Grounds Committee

Building & Grounds Committee

Purpose:

The Building & Grounds Committee is concerned with the provision and maintenance of the congregation’s facilities. It may utilize and coordinate the skills of the congregation and may also be the first line of oversight for outside contractors. The Committee is involved with issues of accessibility and safety.

Membership:

The Committee shall consist of a Chairperson (appointed by the Board President) and the Board of Trustees, acting as a committee of the whole.

With such assistance as is necessary from the Committee, the Chairperson shall be responsible for the following:

Responsibilities:

Prepare monthly reports for the Board of Trustees

Develop yearly budget for the Board of Trustees

Recruit volunteers and establish work schedules for building and grounds maintenance

Arrange, when necessary, for outside contractors for such things as snow plowing, heating system maintenance, roof repair and other such things deemed beyond the capabilities of the congregation

Obtain all necessary kitchen and cleaning supplies and equipment

Be responsible for the issuing and collection of building keys

Be responsible for the scheduling of groups wishing to use the building. Arrange for the opening of the building, any necessary setup and clean up and for the collection of fees

Develop written procedures and schedules for proper operation and maintenance of building equipment and systems to facilitate transfer of responsibilities for them

Qualifications for Chairperson:

Commitment to the mission of the UUCRV

Time Required:

10 hours per month

Membership Committee

Membership Committee

Responsibilities of Committee:

Greet and welcome visitors and other members.
Maintain a membership roster.
Participate in scheduled committee meetings.
Facilitate UU and UUCRV informational meetings.
Organize membership ceremonies when needed.
Offer hospitality after church at coffee hour and 5th Sunday potllucks.
Be alert to the needs of individual members of the congregation and find ways to respond to them. (Care and Concern Committee)

Qualifications of Committee Members:

Membership in UUCRV.
Work as a team member.
Willingness to give support to other committee members.

Time Required:

Average one and one-half hours per month, plus preparation time for coffee hour and potlucks.

Meetings schedule:

Quarterly and as required.

Length of commitment:

One year, renewable.

Reading materials.
Occasional seminars provided by the Central Midwest District.

Worship Committee

Purpose:

The Worship Committee will support the professional ministry of the congregation to ensure that all Sundays have a planned service; such as a guest speaker or lay service.

Responsibilities of the Committee:

Meet monthly and plan two services per month (goal is one speaker and one lay service)

Responsibilities of the Committee Members:

1. Participate in our monthly meetings
2. Chairman will notify participants of the meeting time, prepare an agenda, monitor progress of committee projects/assignments and lead meeting.
3. Participation in our lay lead services
4. Willingness to help with the physical preparation for the service
5. Bring ideas for current agenda and/or future services

Qualifications for the Committee Members:

1. Commitment to the mission of the UUCRV
2. Ability to work as a team member
3. Ability and willingness to give support to other committee members and congregants

Amount of Time Required:

Average of 2 ½ hours per month for meeting and willing preparation time for services

When Planning is Performed:

Monthly meeting will be on third Thursday, 6-8 PM. Preparation is at your convenience.

Length of Commitment:

One year, renewable

Training Provided:

1. Reading materials provided (hymnal etc)
2. Notebook of materials
